Scheduling
a Room & Facility Use Policies
The
parish maintains a comprehensive calendar of facility reservations.
To
schedule a room for a parish activity, please contact a staff person who
will complete a Facility Use Request.
To
request a room for a non-parish activity, please contact Loretta Wright at
425-747-6770 ext. 104. She will
explain the guidelines for using our facility, which were developed and
approved by our Pastoral Council in light of the extremely high use by our
parish programs and organizations and the volume of space requests.
Events
are put on the St. Madeleine Sophie Facility Calendar according to a
priority policy. Parish
events always take precedence over non-parish events. Events are considered to be non-parish, unless formally
approved as parish activities by the Pastor and Pastoral Council.
A Facility Use Agreement is required (with fees paid) at the time a
non-parish event is scheduled. An insurance fee is also required by the
Archdiocese.
Fund
Raising Guidelines
How
to Successfully Conduct Your Fund
Raising
Activity on Church Property
-
Request
permission from and provide the information to the Pastor at least two
weeks prior to your proposed fund raising activity on church property
so as not to block parishioners going in and out of the Church.
-
Bring
a card table and set it up on the North side of the breezeway. You
should have a sign (no larger than 18 x 36 inches) for parishioners to
see, if they are interested, as they exit the church.
(Generally, announcements are not made at mass about fund
raising activities.)
-
Allow
parishioners to come to your sign or table rather than you approaching
them as they exit the church.
-
Have
written information about your charity for parishioners to take home,
if they are interested.
-
Respect
other fund raisers who may be sharing the North side of the breezeway
with you.
Fund
Raising Guidelines as Recommended
by
the Pastoral Council
The premises of St. Madeleine
Sophie Church are available on a limited basis for fund raising for
non-profit groups. The
Pastor, in his sole discretion, shall approve all fund raising activities.
The Pastor may consult with the Pastoral Council in determining the
appropriateness of fund-raising activities and the manner in which
donations shall be collected. All fund raising applicants and organizations must have goals consistent with the philosophy, tenets, policies and actions of the Catholic Church. The proposed fund raising activities and collection of donations may not infringe upon St. Madeline Sophie Church's celebration of the Eucharist, religious services or instructions, educational
activities or parish fund raising activities.
Parish related fund raising activities have priority over
non-parish
fund raising activities. All
applicants are required to request permission from the Pastor at least two
weeks before the proposed fund-raising activity.
A written accounting of the funds collected and expended on the premises may be requested for the Pastor's review.

Building
& Grounds Commission
The
parish Building and Grounds Commission is a synergistic team consisting of
volunteer parishioners, staff and the parish Pastoral Associate, which has
been empowered with establishing the operational and maintenance plans for
the existing facilities. Such
plans shall be consistent with the Parish Goals and Mission Statement and
shall be coordinated with the future growth plans as established by the
Pastoral Council.
The
Commission works toward meeting the objectives of the parish by
developing, and periodically updating a comprehensive plan for the
utilization of the land and improvement of the physical facilities to
support the parish mission and goals in the light of current needs and the
continuing expansion of programs and services.
Memorial
Gardens Policy
In
the past parishioners have donated trees and shrubs to the church in honor
of their loved ones.
Because of the increased interest in this at Saint Madeleine Sophie
our Building and Grounds Commission has recognized the need to set some
common standards.
The Building and Grounds Commission, in keeping with the goals of
our parish community, has the responsibility to discern and give advice
regarding the maintenance of and improvements to the facilities and
grounds of St. Madeleine Sophie Church.
The
purpose of the Memorial Gardens Policy is to promote communication and an
understanding among parishioners for the need of a uniform process for the
overall beautification of the church property.
It is important to recognize the various needs and be sensitive to
our fellow parishioners during this time when they want to express their
grief and celebrate a life by memorializing a loved one.
Parishioners
who wish to offer a memorial planting should keep in mind the following:
-
The
memorial planting is a donation to the church in honor of a loved one.
Please do not turn it into a shrine.
(A small simple placard identifying the loved one is
permissible).
-
With
future flexibility in mind, it may be necessary from time to time for
the parish to move or remove plantings in order to preserve the
overall look of the area.
-
The
maintenance of the gardens is to be provided by those who have made
the plantings.
-
Those
who wish to donate to the Memorial Gardens in the name of a loved one
should contact the Building and Grounds Commission before any planting
is done, by calling the parish office at 747-6770.
A commission member, who is aware of the policy guidelines and
planting needs, will get in touch with them.
